Facility Use

Through our online system, Facilitron, reservation requests can be easily submitted and quickly reviewed by the district. Renters have the opportunity to view facility photos and descriptions, see real-time availability, get estimated quotes, and pay online.

To better facilitate your request, have these items ready:

  1. School Site (SHHS, RLS, SHES, SHPS, District Office)
  2. Type of space required (classroom, gymnasium, sports field, auditorium, etc.)
  3. Date(s) of the event
  4. Time of the event
  5. Purpose of use or type of event
  6. Key organization(s) or responsible people and their contact information: Phone numbers and emails
  7. Proof of insurance (Facilitron can provide insurance if needed)

 

Facility Rental

Certain district facilities are available for rent to individuals and community organizations by the St. Helena Unified School District.  The California Education Code, Section 38130, known as the Civic Center Act, and the St. Helena Unified School District Board Policy No. 1330 govern outside groups' use of the facilities.   SHUSD administrative staff makes final approval decisions on all outside facility use.

St. Helena Unified School District is pleased to partner with an online facility rental system, Facilitron, Inc., designed to provide a simple user experience for requesting facility use.  This is the only way to request the use of a district facility.  Potential facilities renters can use this system to submit use requests, access photos and descriptions, see real-time availability, get estimated quotes, and pay online.  Facilitron will assist with setting up organizations and user accounts, including verifying non-profit status (if applicable).  Facilitron will also collect payment and proof of insurance (certificate of insurance) on St. Helena USD’s behalf.  Payments can be submitted conveniently on Facilitron. Payment options include major credit cards, checks, ACH/eCheck, and PayPal. Proof of insurance (certificate of insurance) can also be conveniently uploaded into the system, and/or it can be obtained directly through Facilitron.  If you need assistance setting up an account and/or submitting a facility use request, users can contact Facilitron directly by e-mail at support@facilitron.com or by phone:  800-272-2962.

Please note: Submitting an online reservation request does not guarantee approval. Each request undergoes a review and approval process involving multiple stakeholders. Once your reservation is approved, you will receive a confirmation email from Facilitron. A deposit does not guarantee that your reservation will be approved.
